Scheduler: What It Is and How It Works

View your calendar

The Scheduler is the place where you can plan and organize your social media schedule

👉 Filters: View your schedule for one profile or multiple profiles at once with the multi-profile filter.

👉 You have four options to view your schedule:

  1. Calendar
  2. List
  3. Grid (Instagram only)
  4. Overviews

👉 Here’s what you can do using each view:

  • Schedule posts at a specific time in Calendar view and List view
  • View scheduled content for the upcoming days, weeks, and months in Calendar view
  • View already published posts (post history) in Calendar view and List view
  • Set up a weekly recurrent schedule for your content categories in the Overview tab
  • See posts set to draft scheduled at a specific time in Calendar view and List view
  • See what your Instagram feed will look like using our Grid view.

Paused content categories

In the SocialBee Scheduler, paused categories and any approved posts within them are displayed in a faded style. In the example below, the "Blog & Videos" category on the first line is paused, while "Promotional" is active.


Add a time slot

At the top of the schedule in each of the three views, you'll see a button that says "+ Add time slot". When you click on it, you'll see this window popping up:

You'll be able to choose between:

  1. Creating a post. This option will send you to the Post Editor where you'll be able to create a post and schedule it at a specific time or in one of your content categories. The post you add here will have a time slot that will be visible in the schedule.
  2. Adding a time slot for one of your categories. This will open a different pop-up that will allow you to schedule a content category for one or more of your profiles. Click on the interactive screen below to see the steps.

Calendar view

In the Calendar view, you can see and edit your scheduled posts, and add new time slots.

You can view your schedule by:

  • Day
  • 4 Days
  • Week
  • Month

To filter by date, click on the date at the top of the schedule. In the calendar that opens up, click on the date that you want to be the first day displayed.

In Calendar view, you can see your scheduled posts and the time slots where you need to add content into your categories.

When you click on a scheduled post, a window will open for a full preview.

When you click on an empty slot, the Post Editor will open to let you create a post.


List view

In List view, you can see your next posts for the upcoming week in a list format.


Grid view (only for Instagram)

In Grid view, you can preview your Instagram feed using two tabs:

  • General feed: Shows all your approved posts, including single images, carousels, and Reels.
  • Reels: Shows only the Reels that are currently approved within your Categories.

The Grid preview displays posts you have scheduled and set to "Approved" up to 30 days ahead.


Overview tab

This is where you set a weekly recurring posting schedule for your content categories for each connected profile. Each week, SocialBee goes through this schedule and publishes approved content from each category.

How to generate a preset schedule

If you have an empty schedule, you can generate a preset posting schedule, according to the best practices at the moment, by simply clicking “Generate Schedule for selected profile”.

  1. Go to our Scheduler here and select the Overview tab.
  2. Click on Generate Schedule as per best practices.
  3. Select the social media profiles you want to create the schedule for.
  4. Select the categories you want to include in your schedule.
  5. Click on Generate schedule.
  6. We’ll help pick the best posting times for your categories using AI-driven insights, so your content reaches your audience more effectively.
  7. You'll get the preset posting schedule, which you can further customize.

Once you generate the preset schedule, you'll also see category statistics, so you can make additional adjustments if needed (e.g., add more categories in the schedule, edit the posting times, etc).

Another option for generating a new schedule is by using the SocialBee Copilot.

Edit an existing time slot

Click the pen icon on the time slot you want to edit. The same pop-up as before will appear for you to make changes.

Delete a time slot

There are two options to do this, but both start the same way: by clicking on the category time slot that you want to delete. Once you can see the pop-up, click on "Remove time slot".

If you want to delete a posting time completely, for all profiles, just click on "Delete" at the bottom left corner, and then once more to confirm the action.

Delete the entire schedule

If, however, you want to change your entire schedule, it might be best to delete the previous one and start from scratch. To do this, click on "Clear time slots" at the top right corner of the schedule.


How to remove a Category from the schedule

If you want to remove a scheduled category timeslot from your SocialBee calendar, you can do so directly from the Scheduler.

How to delete a Category timeslot

  1. Go to your Scheduler.
  2. Select the Overview section.
  3. Find the time slot associated with the category you want to remove.
  4. Hover over the timeslot and click the trash bin icon to delete it.
  5. Once deleted, that category will no longer post at that time.
